TMO Quick Tip - Mail: Organizing Smart Mailboxes

It's no secret that I love Mail's Smart Mailboxes feature and rely on it to keep my messages sorted and under control. One sharp-eyed Quick Tip reader caught that I keep my Smart Mailboxes grouped and and asked how I did that. The answer is easy -- once you know where to look.

To make a folder in Mail that can hold Smart Mailboxes, choose Mailboxes > New Smart Mailbox Folder. Give your Smart Mailbox Folder a name, and click OK.


Creating a Smart Mailbox Folder

Drag Smart Mailboxes into your new folder to organize them, and like other mailbox folders, you can nest your Smart Mailbox Folders if you like.

I group my Smart Mailboxes into folders so that I can more easily find similar messages based on the searches each folder performs. For example, I have a set of Smart Mailboxes that search for messages based on how old they are relative to today. I have other sets that group messages based on senders, and notes I've added to messages with MailTags.

I like Smart Mailboxes because they organize messages without actually moving the emails they find. Smart Mailbox Folders let me add an extra layer of organization to my constant stream of emails and make all of that incoming content more manageable.

Subject: How are you nesting smart folders?

I've clicked and dragged all over and no matter what I do I can't nest one smart folder inside another. How, exactly, are you nesting them?

I guess you need to explain further - that option is greyed out when I go to Mailboxes. Might it have to do with the language? Sounds silly, I know, but let no stone be unturned:) My system is set to Norwegian so Mail "talks" Norwegian to me. The option is there, but not active.

As stated above the "New Smart Mailbox" is greyed out.

If the menu option is grayed out, try clicking the Smart Mailboxes disclosure triangle to hide all of your Smart Mailboxes. That should deselect all of your Smart Mailboxes and enable the New Smart Mailboxes Folder menu option. My guess is that a bug in Mail is disabling the menu option, so hopefully Apple will fix that in the Mac OS X 10.5.5 update (hint, hint, Apple).

That did the trick, and that sure does feel like a bug!!

I just ordered an iPhone - considering moving all my mail from Entourage to Mail as (I assume) the integration with the iPhone should be smoother. Same problem, The option is there, but not active.
